Poisedly Privacy Policy
Effective Date: November 29, 2025
Welcome to Poisedly! We are committed to protecting your privacy while providing you with our powerful language services. This Privacy Policy explains how we collect, use, share, and protect your information when you use our website, Chrome Extension, and related services (collectively, the "Service").
1. Information We Collect
To provide and improve our Service, we collect the following types of information:
a) Information You Provide Directly
- Account Information: When you create a Poisedly account, we collect your email address. Authentication (including password storage and verification) is handled directly by Firebase Authentication, so Poisedly itself never stores your password. If you sign in with a Google account, we receive your email address from Google for authentication purposes. We also store your language preference settings to personalize your experience.
- Payment Information: When you upgrade to a paid subscription plan, your payment information (such as a credit card number) is collected by our third-party payment processor, Stripe. Poisedly does not directly store your full payment card details, but we do maintain a record of your transaction history and subscription status.
- Feedback Information: When you submit feedback through our Service, we collect the content of your feedback and any contact information you choose to provide, so we can respond to your suggestions or concerns.
b) Information We Collect Automatically
- Usage Data: We record your activity in relation to the Service, such as the number of times you invoke the "Explain" or "Poisedize" features (for quota management) and the types of features you use. The "Lookup" feature for single-word queries remains free and is not logged for quota purposes.
- Device and Log Information: When you access our Service, our servers automatically record information, including your IP address, browser type, operating system, and access times.
c) Content You Authorize Us to Process
- Website Content: When you use our core features ("Explain," "Poisedize," or "Lookup"), the text content you actively select on a webpage is sent to our servers for processing so we can provide you with translations, explanations, word definitions, or rewrites. We only process the text you select and do not access or store any page content you have not selected.
- Word Query Cache: To improve response times and service quality, we may cache the results of word queries (the word, source language, target language, and the generated definition) on our servers. This cache helps us provide faster responses for commonly queried words.
2. How We Use Your Information
We use the information we collect for the following purposes:
- To Provide and Maintain the Service: To process the text you select, verify your identity for login, manage your account, and apply your language preferences.
- To Manage Your Subscriptions and Quotas: To process payments, associate your account with the correct subscription tier (Free, Pro, Plus, Max), and track your usage within your subscription quota using a 31-day rolling window.
- To Improve Our Products: To understand how users interact with our Service by analyzing usage data (typically on an anonymous, aggregated basis) to optimize features and user experience. We also use cached word query results to improve response times.
- To Respond to Feedback: To review and respond to feedback you submit, and to use your suggestions to improve the Service.
- To Ensure Security: To use information like IP addresses to prevent fraud, abuse, and security incidents.
- To Communicate With You: To send service-related notifications to your email address, such as account verification, subscription confirmations, policy updates, or important security notices.
3. How We Share Your Information
We state unequivocally: we do not sell your personal information to any third parties. We only share your information with third parties in the following limited and necessary circumstances:
- Authentication Providers: We use services like Google Firebase to assist with user authentication. When you sign in via Google, we share information with them to verify your identity.
- Payment Processors: We use Stripe to process your subscription payments. We share transaction-related information with Stripe to complete the payment process.
- AI Technology Providers: To enable the "Explain," "Poisedize," and "Lookup" features, the text content you select is securely sent to our partner AI technology providers for processing. We have strict data processing agreements with our vendors, requiring them to use this data solely for the purpose of providing the service.
- Legal Requirements: We may disclose your information if required by law, regulation, or a valid governmental request.
4. Data Security
We implement reasonable administrative, technical, and physical security measures to protect your personal information from unauthorized access, use, disclosure, or destruction. However, please note that no method of transmission over the Internet or method of electronic storage is 100% secure.
5. Data Retention
We retain your personal information only for as long as necessary to fulfill the purposes outlined in this policy, unless a longer retention period is required or permitted by law. Specifically:
- Account Information: We retain your account information as long as your account is active. You may request deletion of your account at any time.
- Usage Data: We track your feature usage within a 31-day rolling window for quota management purposes. Usage counts are automatically reset after this period.
- Word Query Cache: Cached word definitions are retained to improve service performance and remain stored until we perform manual maintenance or future system cleanup.
- Feedback: Feedback you submit is retained to help us improve the Service and may be kept for reference purposes.
6. Your Rights and Choices
You have the right to access, correct, or delete your personal information. You can exercise these rights through your account settings or by contacting us directly. You may also choose to stop using our Service and deactivate your account at any time.
7. Children's Privacy
Our Service is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13.
8. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by posting the new policy on our website or by other means, such as email. We encourage you to review this policy periodically.
